In brief:

Ask ten nursery software providers whether they’re all-in-one, and all ten will probably say yes. It’s become the go-to phrase across the sector.
But what that actually means can vary a great deal. The differences often don’t become clear until you’re a few months into a contract.
This guide explains what truly sets one all-in-one system apart from another, where eyworks is a good fit, and where it may not be.

Why “all-in-one” is often a misnomer

With overlapping tools such as digital registers, nursery invoicing, parent apps, and observation software, providers can appear similar at first glance. But behind that shared language are two fundamentally different products.
  • The bundled model: you choose from fixed pricing tiers. Features are grouped into different plans, so the tool you need may sit behind a higher price point. Even if you only want one tool, such as staff rotas or accident forms, you may have to pay for a higher tier to access it.
  • The grow-with-you model: you choose the individual modules your nursery needs today, such as finance or observations, and add more only when you’re ready, without replacing what’s already working.
It’s hard to spot the difference on a pricing page. It often surfaces the day your team goes looking for a feature they assumed was standard and finds it locked behind a more expensive plan. Then you’re left weighing up whether the upgrade is worth it or whether the spreadsheet stays for another year.
So, before you sign anything, the real question isn’t whether the software does everything. Most providers do. It’s whether the pricing and setup fit the way your nursery works and grows, or whether your nursery will have to fit around the software.

The five-point test before you sign a contract

Put the feature list aside for a moment. If you run an early years setting in the UK, put any nursery software you’re considering, including eyworks, through these five tests.
Non-negotiable What it looks like when it's real The trap to watch for
Built for UK early years, not adapted to it EYFS, CfE, and other UK framework tracking mapped to the inspection areas, funded and unfunded hours split cleanly, Tax-Free Childcare handled inside how parents pay, SEND flags on a child's own profile, safer recruitment evidence as standard A platform built for a different market or sector, where UK-specific rules were bolted on afterward rather than built in from day one
Priced for what you need today, not what you might need one day You can clearly see which module or feature sits in. A feature you'll use every week, such as rotas or accident forms, sits behind the most expensive tier in the range
Covers the staffroom, not just the classroom HR, training, DBS tracking, and ideally recruitment itself, live inside the same system as observations and finance A platform that manages your existing staff but doesn't track DBS checks or training expiry dates. Leaves you posting vacancies on job boards and chasing applicants through spreadsheets.
Holds up on a tablet mid-shift, not just in a demo Practitioners can log an observation or accident form one-handed while staying focused on the children. It also works in areas with weak Wi-Fi, such as the garden or outdoor play area. Software that looks slick on a laptop in a sales call and turns into three extra taps once someone's actually holding a toddler
Scales with you as your nursery grows A new module, or a second site, can be added without retraining everyone on a different system from scratch. A change of software means disruption and retraining everyone on the new software. A platform sized exactly for where you are today, which quietly becomes the reason you're shopping again in eighteen months

A quick note on how we built this guide

We’re the team behind eyworks. We built our platform to tackle two common problems in the early years sector: rigid bundled pricing and software that treats recruitment as someone else’s problem. Full disclaimer: we’re not a neutral party here. What we can promise is honesty. If another provider is genuinely a better fit for your nursery, we’ll say so.

Every figure and feature claim below is drawn from publicly available pricing pages and product information. If you spot an inaccuracy, get in touch, and we’ll review it.

How we scored each platform

We used the five tests above as a scoring rubric, so we measured every platform, including eyworks, against the same standards. For each test, a platform scores:
Score What it means
Strong (2 points) Meets the test as standard, with nothing extra required
Partial (1 point) Meets the test in part, or only once you commit to a higher tier, a separate tool, or a specific setup
Limited (0 points) Doesn’t meet the test, or the gap is significant enough to change how your team would actually operate
Worth being upfront about the obvious. These five tests are also the specific gaps eyworks was built to close, so a strong eyworks score here shouldn’t come as a surprise. What we can offer instead is a rubric applied consistently, scored against what’s publicly documented for each platform, with the reasoning shown underneath so you can judge it yourself rather than take our word for it.

eyworks is the most flexible nursery management software

Our purpose is to help you build a resilient, thriving nursery, not simply manage one. That mission guides every product decision we make, including our choice to design eyworks as modular software. So you get to choose the modules your nursery needs today. They work together from day one, and you can add more whenever you’re ready.

Who eyworks is built for:

  • Single-site nursery owners – if you’re responsible for finance, staffing, and compliance yourself, you need one place to see all of it, without paying for a chain-scale platform you’ll never fully use. Start with the one or two modules solving today’s biggest headache, most often finance or observations, and build from there.
  • Nursery managers – you’re balancing ratios, parent queries, and daily admin in real time. eyworks is built to reduce the time your team spends looking at a screen, not add to it, because the tools that matter most to you (rotas, ratio visibility, daily diaries) are standard, not gated behind a premium tier.
  • Multi-site group directors and operations leads – you need consistency across every setting and oversight without extra admin layered on top. Because every module is deeply integrated, you get group-level reporting and site-level flexibility without forcing every setting into the same rigid configuration on day one.

What's actually inside eyworks

Rather than a generic one-size-fits-all bundle, eyworks gives you modules that work brilliantly on their own and even better together.
  • eymanage brings child scheduling, occupancy planning and invoicing together in one practical system. It clearly separates funded and unfunded hours, helps you manage staff rotas and ratios, and gives families flexible ways to pay, including Tax-Free Childcare.
  • eylog is our online learning journal. It supports common UK frameworks like EYFS, Birth to 5 Matters, and CfE, and provides a framework builder so you can add your own curriculum (including Montessori and CoEL). You can record daily diaries, observations and assessments digitally, complete statutory Two-Year Progress Checks, and manage accident and medication forms in one place. It can also help you run trend analysis reports to spot patterns across recorded incidents.
  • eyenquiries manages parent enquiries from first contact through to enrolment. It includes waiting list and pipeline stage management and analytics showing where enquiries convert.
  • eypeople is an HR system built specifically for early years. It holds a single central record per staff member, tracks DBS and right-to-work documents. It flags qualification and training expiry dates automatically and handles contract entitlement, absence, TOIL, and overtime.
  • eyrecruit is a dedicated applicant tracking system built for the early years sector. It posts vacancies automatically to multiple boards, including Indeed and GOV.UK. It gives you a visual candidate pipeline and builds the safer recruitment evidence trail as candidates move from applied to hired. You can also build a talent pool of strong runners-up you may want to stay in touch with.
  • eyengage is our nursery newsfeed for sharing posts and polls with parents and staff at the nursery, region or whole-group level.
  • eyparent and eyemployee are our free apps for families and staff. They give each group direct access to the parts of eyworks that matter most to them.
  • eypay brings parent payments (card, Direct Debit, Apple Pay, Google Pay, and Tax-Free Childcare) directly into eymanage. It automatically pulls your bank feed into eymanage so you don’t have to manually download and upload CSVs. eypay also simplifies your reconciliation workflow.
  • Aimey is our AI writing assistant, built specifically for early years. Unlike general AI tools such as ChatGPT, Gemini and Claude, Aimey understands the early years sector and nursery context. It connects across your eyworks modules to help your team draft on-brand content, plan sessions, and much more.

Flexibility is the advantage that keeps paying off

Most feature comparisons miss something simple. A nursery rarely stays the same for long. Staff change, funding rules shift, and a setting that opens with 20 children is unlikely to stay that size for long. Software bought to solve today’s problem can become next year’s limitation if it can’t grow with your setting.
A rigid software bundle fails in three directions.
  1. You may have to pay for a full package just to access one feature you need today.
  2. You’ll have to rip and replace your current software, including the ones that work well.
  3. You’ll have to retrain your staff on a whole suite of products unnecessarily.
A modular approach avoids these problems. You start with the product that solves your most pressing problem, see how it works for your team, then add another when you’re ready. There’s less disruption for your people and your processes.

"We want to fit into our customers' world. We don't want to force them into ours."

Say, for example, your nursery needs to recruit straight away. You can start with eyrecruit to attract, track, and hire the right people. You can do this without replacing the systems you already use for observation, finance, and so on. And you can buy eypeople, our HR software, if you want to manage the complete employee lifecycle from recruitment to retention in one place.
As Zoe Wright, Head of Operations at Hitchin House, put it:

"We appreciate the mix and match buy as you need approach to the elements of eyworks, which means we are only paying for what we use."

You can read more about the thinking behind this on why eyworks.

How the rest of the market compares

No single platform will suit every nursery. The right question isn’t “which nursery management software is the best”; it’s which architecture fits the way your setting operates. Here’s how the main categories break down.

Traditional bundled all-in-one platforms

Famly and Ovivio (formerly Blossom) are the two well-known providers in this category. We’ve published detailed side-by-side comparisons of both. The short version is that both sell tiered packages. Famly has Foundation, Premium, and Professional, while Ovivio offers Essentials, Learning, and Business. In both cases, core operational features are often reserved for the top tier.
With Famly, digital accident and medication forms sit behind the Premium tier (from £179 a month billed annually), and staff rotas and ratio management require the top Professional tier (£229 a month).
With Ovivio, invoicing, funding management, and occupancy planning require the Business tier (from £152 a month billed annually). Nurseries on the entry-level Essentials plan can record daily activities, but they can’t complete a statutory Two-Year Progress Check without upgrading.
Neither platform includes a native applicant tracking system, so you have to manage recruitment elsewhere.
These platforms can be a sensible choice if you already need every feature in their top package, have low staff turnover, and prefer one flat fee over choosing individual modules. The problem often comes for the single-site owners and managers who keep a close eye on cash flow. They can end up paying for tools they don’t want just to access the ones they need.

Established suites built for larger groups

Connect Childcare has been around for a long time and has built up a large customer base in the UK. It’s particularly popular among nursery chains and public sector providers.
Its product suite includes a core admin and finance system, the iConnect observation app, the ParentZone parent app, and Connect Cashflow for payments. It’s generally offered as a complete set rather than as individual products, with bespoke pricing for nursery groups.
There is one practical point to consider when comparing the systems. Connect Childcare’s core admin and finance software is a Windows desktop application. Mac users need to install Windows through Parallels to use it.
connect childcare FAQ screenshot
eyworks runs entirely in a web browser, so your team can log in from any device without extra software. For an office with mixed devices, or an area manager who wants to log in from a laptop, a Mac, and a tablet without a fuss, that’s a genuinely practical difference.
Like Famly and Ovivio, Connect Childcare doesn’t have a native recruitment solution, so recruitment needs to be managed outside the platform.

This tends to suit larger, established chains that value a long-tenured vendor, run a Windows-standard admin setup, and don’t currently need recruitment built in. It’s less likely to fit nurseries that need a flexible, browser-based system. We’ve written a full eyworks vs Connect Childcare side-by-side comparison covering all of this in more detail.

Single-purpose specialist tools

A separate category covers tools built to do one thing extremely well, most commonly EYFS observations and learning journals, without covering billing, invoicing, staff rotas, or occupancy planning at all. These can be genuinely excellent at the specific job they’re built for, and they’re worth considering if observations are your only pain point today.
The limitation shows up later, not on day one. A specialist tool was built to do one job well, not to grow with your needs. The moment you need finance, staffing, or enquiries handled properly too, you’re not upgrading the same system; you’re bolting on a second one, then a third. Each addition means another login and another opportunity for data to fall out of sync.
eyworks can meet you in the same starting place. eylog handles observations and EYFS tracking as a standalone module, so you’re not paying for anything more than you need today. The difference is what happens as you grow. Because eylog sits inside the same modular platform as eymanage, eypeople and the rest, adding finance, staffing or enquiries later means switching on another module in the system you already use, not a separate login.

eyworks, 10/10

Full marks across all five areas. EYFS tracking, funded and unfunded hour splitting, Tax-Free Childcare, SEND flags, and safer recruitment evidence are all standard rather than gated behind a tier.
Pricing is published and modular. You get full access to all the features in the module you sign up for. eyrecruit and eypeople cover hiring and HR in the same system, and every module runs in the browser with no operating system dependency.
eypay and Aimey are optional paid add-ons on top of the core modules. Neither is required to run day-to-day operations.

Famly, 6/10

On UK fluency, Famly covers EYFS tracking and funding from its entry Foundation tier. However, safer recruitment evidence depends on a recruitment system to produce it, and Famly doesn’t offer one. That keeps this area at a partial rather than a strong rating.
Famly publishes its pricing, which is a genuine advantage. However, you’ll need its Premium plan at £179 per month for accident and medication forms, as well as staff qualification and absence management. For staff rotas, automatic invoicing, daily log reporting and safeguarding disclosure reports, you’ll need the Professional plan at £229 per month.
In practice, features you use every week can cost more than the headline price suggests. Without a built-in recruitment tool, the staff room test is only partly met.
Device access is Famly’s strongest result. It’s a modern, browser- and app-based platform with no documented desktop dependency. Growing with Famly generally means moving up a tier rather than adding one specific module, which caps the final score.

Ovivio, 4/10

Ovivio (formerly Blossom) shares the same gap as Famly. EYFS and framework tracking exist, but sit behind the Learning tier rather than the entry Essentials plan. The same gap in safer recruitment evidence also applies.
Pricing is where Ovivio falls furthest behind. The Essentials tier doesn’t include invoicing, funding, occupancy planning, EYFS tracking, staff register, rota and leave tracking. A nursery on this plan can record daily activities, but it can’t complete a statutory Two-Year Progress Check or linked frameworks without upgrading. This gap is wider than Famly’s.
We found no documented HR feature set beyond basic administration, and there’s no native recruitment tool. Its staff room test result is therefore limited rather than partial. Device access matches Famly’s stronger position, as Ovivio is also a browser-based platform. As with Famly, growth largely means moving to a higher tier rather than adding independent modules. The drawback is that you’ll pay the higher price just to access the feature you need, even if you don’t need the rest of the plan.

Connect Childcare, 4/10

Tax-Free Childcare is built into Connect Cashflow, while iConnect covers EYFS observations, so it works well for UK settings. However, the same safer recruitment gap remains. It lacks a native applicant tracking system to create and retain a clear evidence trail.
Its pricing score is limited because it’s quote-based for nursery groups. So you can’t see the real cost without speaking to sales. It only partly passes the staff room test. There’s no native recruitment and no employee or parent engagement module comparable to eyengage.
Device access delivers the most mixed results in this review. iConnect and ParentZone work on web and mobile devices, so practitioners can use them in the room rather than being tied to a desk. However, the core admin software is a Windows desktop application. Mac users need to run Windows through Parallels to access it. This split approach means it scores partial rather than limited.
connect childcare FAQ screenshot
Growth also scores partially. Connect Childcare recommends using its suite together, although it says each product can technically be used on its own.
The scorecard shows how each nursery management software performs against the same five tests. The table below gives you a clear starting point to weigh up against your setting’s needs.

Which one fits your nursery

If you are Consider Because
A single-site owner protecting cash flow, wanting to start small eyworks Pay only for the modules you need today, add more without a rip-and-replace
A nursery manager who needs rotas, ratios, and daily diaries to just work eyworks Core operational tools are standard, not gated behind a premium tier
A setting that needs every feature in a top tier anyway and has low staff turnover Famly or Ovivio A flat bundled fee may suit here. But it's worth comparing against eyworks' modular pricing, since paying per module can still work out cheaper even at full feature parity
A large, established chain that's comfortable with a Windows-based admin setup eyworks or Connect Childcare Deep experience with large multi-site groups, scalability, and detailed reporting tools
A team that needs to log in from Macs, tablets, and shared devices interchangeably eyworks, Famly or Ovivio Runs entirely in the browser, no Windows or Parallels dependency
A nursery whose only pain point is observations, happy to run separate systems elsewhere eylog from eyworks or a specialist observation tool Deep, focused functionality in one narrow area. eyworks gives you the option to add more later without switching systems
A group actively trying to solve the recruitment crisis, not just manage existing staff eyworks eyrecruit is the sector's only dedicated early years applicant tracking system

Common questions about choosing nursery management software

Is eyworks cheaper than Famly or Ovivio?

It depends on which features your nursery actually uses. eyworks modules are priced individually rather than bundled into tiers, so you only pay for what you need. For example, a boutique 20-child setting that needs only invoicing and observations pays substantially less with eyworks than with Famly’s or Ovivio’s equivalent tier, because you’re not paying for HR or enquiry tools you don’t need.

Yes, eyworks is built to grow with your nursery. Many settings begin with a single module, such as eymanage or eylog, based on what they need most right now. You can then add other modules when the time is right.

For most nurseries, yes. eyworks is modular by design, so you can choose the tools you need now and add more as your setting grows. Each module works brilliantly alone and even better together, unlike the fixed tiers Famly and Ovivio sell.

The most practical difference is architecture. Connect Childcare’s core admin software runs as a Windows desktop application, so Mac users need Parallels to access it, while eyworks runs entirely in the browser on any device. eyworks also includes a dedicated recruitment module, eyrecruit, which Connect Childcare doesn’t offer natively.

Yes, eyworks includes eyrecruit, a dedicated applicant tracking system built specifically for early years settings. eyworks is the only platform in this category with a native ATS built for the sector rather than a generic third-party add-on.

Yes. eyworks modules work together to give group directors clear, consistent reporting and oversight across every site. At the same time, individual settings retain the flexibility to adopt modules at their own pace.
