Choosing nursery management software should be simple. Search “nursery software UK”, and you’ll find a dozen platforms all promising the same thing: an all-in-one solution that does everything, for less admin and more time with the children.
They can’t all be right. And if you pick based on the flashiest homepage rather than what your nursery actually needs, you risk locking yourself into a 12-month contract that doesn’t fit.
This guide won’t tell you which brand to choose. It’ll give you the questions worth asking, so you can see past the marketing and make a call you won’t regret in a year.
Start with your nursery’s reality, not a checklist
Most buying guides and software advice begin with a feature list. Invoicing, observations, staff rotas, parent communication. Tick, tick, tick. That’s the wrong place to start, in our opinion.
Start with what happens in your nursery day to day. Where do things slow down? Where does information get lost? Where is your team spending time that could be better spent with the children?
Think about the repetitive, lower-value tasks that take time away from the work that helps your nursery grow. Which manual processes leave room for human error and could be made simpler with the right digital tools?
And what’s the one thing your current software provider doesn’t quite get right?
A feature list can show you what software can do. It can’t tell you whether it’s right for your nursery, or whether your team will still use it once the excitement of the demo has worn off.

Does it speak fluent UK early years?
Not all childcare management software is built with UK nurseries in mind. Some platforms are adapted from general childcare or education systems designed for other markets, and it shows in the gaps.
Before you commit, check the system was built around your regulatory reality, not retrofitted for it:
- EYFS learning goals and observation tracking that maps to the Ofsted inspection framework.
- Funded entitlement handling for 15 and 30-hour allocations, split clearly from unfunded hours.

None of this shows up well on a homepage screenshot. It shows up three months in, when a funding calculation doesn’t match what your local authority expects, or an inspector asks a question your system can’t easily answer.

Can you pay for only what you actually need?
Ask yourself one honest question. Which parts of this software will your nursery actually use in the first three months?
Think about your day-to-day operations. Fees and payments, learning records, staff HR, recruitment, and parent communication. Be realistic about what you need to sort out now and what can wait.

Will your staff actually use it?
The best system on paper is worthless if your room leaders find it clunky and impractical to use when six children need their attention at once.
Before you commit, ask to see it running on a tablet, not just a desktop demo. Ask how long a new starter needs before they feel confident using it unsupported. Ask what happens to the pace of the room while someone’s logging an observation or an accident.
Software should reduce the time your team spends looking at a screen, not add to it. The measure of a good system isn’t how many features it has. It’s how quickly your team forgets they’re using it at all.

Can it grow with you as you scale?
Think beyond where your nursery is today. If you’re planning a second site, anticipating an acquisition, or bringing in a new HR system next year, ask now whether your software can accommodate that change. Pick a partner that can grow with you, or you’ll be in the same spot again in a year or two.
