Keeping your data safe online

As you may know, the General Data Protection Regulation (GDPR) came into effect on 25 May 2018. We take our obligations under GDPR very seriously and have taken steps to ensure that we are compliant with the new regime. As a result of our review, we have identified a couple of areas where some changes are required to our processes as below:

How we handle your data

At eyworks, we’ll never misuse your data. We’ll never sell it. To learn more about how we use your data and how we keep it safe, please take a moment to review our Privacy Policy.

What data we hold

When you use our system, you may provide us with some special categories of personal data relating to children/staff including their religion, ethnicity and information on their medication and medical issues. In order to input this information into the eyworks suite, you must have the consent of the parent/carer or staff. We therefore ask you to confirm that you have secured this consent when you first upload personal data of children and staff.

How we share your information

We need to add/share some of your information with our partners to give you a great service. For example, 3rd party CRM, support platforms, application analytics, etc. We have reviewed our partner platforms for GDPR compliance.

How long we keep your data

In most cases, we keep the data for a minimum of 60 days after the information is deleted by a user. We might need to keep anonymous data for statistical purposes for longer.

How does GDPR impact our processes?

GDPR requires us to provide our privacy policy to data subjects within one month of us beginning to process their personal data. We now therefore require you to provide the parent/carer of any child or staff, whose personal data we process, with our Privacy Policy no later than one month after you input their data into the eyworks suite.

Your rights

You can ask to see the information we have about you. You can also ask us to change it, correct it, delete it, restrict how we use it or object to the way we use it by emailing dpo@eyworks.co.uk.
